Refund Policy

Effective Date: March 19th, 2026

At PI Docs, we provide digital marketing and patient acquisition services for healthcare providers. Due to the nature of our services, all payments are generally non-refundable once work has commenced.

1 Enrollment Fee

The one-time enrollment fee covers the setup, implementation, and deployment of your marketing systems, including campaign creation, infrastructure setup, and onboarding resources.

Because these services require immediate allocation of time, labor, and technology, the enrollment fee is non-refundable once services have begun.

2 Performance Guarantee Exception

Clients may be eligible for a refund of the enrollment fee only under the conditions outlined in their signed service agreement.

Specifically, if PI Docs does not deliver the agreed-upon minimum number of qualified, showed appointments within the specified timeframe, and all client responsibilities have been met, the client may request:

Continued service at no additional cost until the target is achieved, or
A refund of the enrollment fee, in accordance with the agreement

All eligibility requirements and conditions are defined in the client's service agreement.

3 Ongoing Services

All fees associated with ongoing marketing, advertising, and administrative services — including per-appointment or performance-based fees — are non-refundable once services have been rendered.

4 Billing & Payment Disputes

If you have any concerns regarding billing or charges, you agree to contact PI Docs directly before initiating a dispute with your bank or payment provider.

We are committed to resolving any issues quickly and fairly.

Initiating a chargeback or dispute without first attempting resolution may result in:

Suspension of services
Termination of the agreement
Recovery of outstanding balances where applicable

5 Payment Authorization

By submitting payment, you authorize PI Docs to charge your selected payment method for all agreed-upon services in accordance with your service agreement.
